Thank-you notes after closing
Four notes you can copy: buyer, seller, referral source, and lender or inspector. Fill in the brackets, write it by hand and mail it the week of closing.

What makes a note land: one specific memory from the deal. "Thank you for your business" could come from anyone. "I keep thinking about you measuring the porch twice" could only come from you.
To your buyer
[Name], congratulations on [street name]. I keep thinking about [one real moment, like the second showing when you measured the back porch twice]. Thank you for trusting me with this one. When you start on the [project they mentioned, like the fence], call me and I'll send you the names of people I'd hire. [Your name] [Phone]
To your seller
[Name], thank you for letting me sell [address]. [One real detail, like: you had the house ready two days before photos, and it showed]. I hope the move to [new town or home] goes smoothly. If a question about the sale comes up later, or you need a contractor name, call me. [Your name] [Phone]
To whoever referred the client
[Name], [client's first name] closed on [their new place / the sale of their home] this week. Thank you for sending them to me. [One detail they'll enjoy, like: they're already planning the garden you told them about]. If anyone else you know is thinking about a move, I'd be glad to help. [Your name]
To the lender, inspector or title officer
[Name], thank you for [the specific thing, like: turning the appraisal update around in one day / walking my buyers through the roof findings on [address]]. [Client's first name] closed on time because of it. I'd like to work with you again. [Your name]
When to send each one
- Buyer and seller: the week of closing, while the details are fresh.
- Referral source: a quick text the day the client signs with you, then the note when it closes. Ask your client before you share details of their deal.
- Lender, inspector, title: the week of closing, and name the thing they did that helped.
A note on gifts
A gift is optional. Two rules worth knowing:
Taxes. The IRS lets you deduct no more than $25 per person per year for business gifts. Wrapping and shipping usually don't count toward the $25. You can spend more, but only $25 is deductible.
Lenders, inspectors, title and other settlement providers. Send the note, not a gift. Under RESPA Section 8, nobody may give or accept a fee, kickback or other thing of value for referring settlement service business on a federally related mortgage loan. Ask your broker what your office allows.

The follow-up after the note
Follow-up texts sorted by situation, plus one useful email a week with a tool, a prompt and a script.
